7 Free Tools Every Aussie Tradie Should Be Using Right Now

You don't need expensive software to run a better business. These seven tools cost nothing and work on your phone.

Most tradies use their phone, a notepad, and maybe a spreadsheet. That works until it doesn't. Missed quotes, lost receipts, and forgotten follow-ups add up fast.

These free tools fix the gaps. All of them work on your phone. None of them need a computer science degree. And every one of them can save you hours each week.

1. Google Business Profile

What it does: Puts your business on Google Maps and in local search results.

Why it matters: When someone searches "mobile mechanic near me", Google shows local profiles first. No profile means you don't show up. You're invisible to the people who are searching for exactly what you do.

How to set it up:
- Go to Google Business Profile and claim your listing
- Add your business name, phone number, and service area
- Upload 5-10 photos of your work (real jobs, not stock photos)
- Write a short description of what you do and where
- Ask every happy customer to leave a Google review

Five-star reviews on Google do more for your business than any ad. A profile with 20+ reviews and a 4.8 rating gets clicked more than any paid result. And it costs nothing.

2. Canva (Free Plan)

What it does: Lets you create professional-looking graphics, social posts, and documents.

Why it matters: You don't need a designer for everyday content. Canva has thousands of templates you can customise in minutes.

Best uses for tradies:
- Social media posts (before/after photos with your logo)
- Quote templates with your branding
- Flyers for local noticeboards
- Business cards you can print at Officeworks

The free plan gives you more than enough. You'd only need to upgrade if you want to save brand colours and fonts.

3. Wave Accounting

What it does: Free invoicing, receipt scanning, and basic accounting.

Why it matters: Sending invoices from a Word doc or a text message looks unprofessional. Wave lets you send branded invoices, track payments, and see what's outstanding at a glance.

The Australian Taxation Office requires you to keep business records for five years. Wave handles that automatically. Come tax time, you export a report and hand it to your accountant.

Key features on the free plan:
- Unlimited invoices
- Receipt scanning (photo the receipt, Wave logs it)
- Payment tracking (see who's paid and who hasn't)
- Basic financial reports

4. Google Calendar

What it does: Schedules your jobs and sends reminders.

Why it matters: If you're juggling bookings in your head, you'll double-book or forget. Google Calendar syncs across your phone, tablet, and computer. Share it with your partner or offsider so everyone knows the schedule.

Tips for tradies:
- Colour-code by job type (service = blue, repair = red, quote = yellow)
- Set reminders for 30 minutes before each job (so you leave on time)
- Block out travel time between jobs (not just the job itself)
- Add customer name and address in the event notes for quick reference

5. Trello (Free Plan)

What it does: Visual boards for tracking jobs from quote to completion.

Why it matters: Think of it as a digital whiteboard. Create columns like "Quoted", "Booked", "In Progress", and "Done." Drag jobs across as they move through your pipeline.

It's a simple way to see everything at a glance without any training. You can also add checklists to each job card (parts needed, tools to bring, customer notes).

The free plan supports up to 10 boards, which is plenty for a solo tradie or small team.

6. WhatsApp Business

What it does: Separate business messaging from your personal number.

Why it matters: Customers prefer texting over calling. WhatsApp Business gives you a dedicated business profile with auto-replies, business hours, and quick reply templates.

Set up these auto-replies:
- Away message: "Thanks for your message. I'm on a job right now but I'll get back to you within 2 hours."
- Greeting message: "Hey! Thanks for reaching out to [Your Business]. How can I help?"
- Quick replies: Save templates for common questions (pricing, service areas, availability)

This keeps customers warm when you're on the tools. A fast auto-reply is the difference between "they must be busy" and "they're not interested."

7. Google Drive

What it does: Free cloud storage (15GB) for photos, documents, and receipts.

Why it matters: Take a photo of every receipt and job. Upload it to a folder. You'll thank yourself at tax time.

How to organise it:
- Create a folder for each month (2026-03, 2026-04, etc.)
- Inside each month, create subfolders: Receipts, Job Photos, Quotes
- Photo every receipt the day you get it
- Store copies of your insurance, rego, and licences

15GB is enough for thousands of photos and documents. If you fill it up (unlikely), you can always start a new Google account.

Which One Should You Start With?

Google Business Profile. It takes 15 minutes to set up, and it's the single biggest thing you can do for free visibility. If someone searches your trade in your area and you don't show up, you're losing work every single day.

Once that's done, set up Wave for invoicing, then Google Calendar for scheduling. Build from there one tool at a time. Don't try to set up all seven in one afternoon.

If you eventually want all of this connected in one place, Light Leads CRM pulls your leads, bookings, invoices, and reviews into a single dashboard. But these free tools are a solid starting point.
